DRAFT — pending legal review
Privacy Policy
This is a working draft prepared by the BayLineup product team. It has not been reviewed or approved by counsel and should not be relied on as a final legal document. Do not treat this page as binding, and do not remove this notice, until it is replaced with an attorney-reviewed version.
Who this covers
This policy describes how BayLineup ("we," "us") handles information across the marketing site (baylineup.com), the production application used by shops with an active account, and the public demo environment (demo.baylineup.com).
Information we collect
Shop account holders: name, username/email, password (stored as a salted hash, never in plain text), role/permissions, and the operational data your shop enters into the app — vehicles, bay/technician assignments, job status, and related timestamps.
Marketing site visitors: information you submit through the contact form (name, email, message). We do not track visitors with third-party advertising cookies.
Demo visitors: feedback submissions (email address, feedback text, the page you submitted from), and standard web server logs (IP address, timestamp, user agent). The public demo never contains real customer, vehicle, or employee data — every record shown in the demo is fictional and reset daily.
Automatically collected: standard request logs (IP address, timestamp, requested path, user agent) generated by normal web server operation, used only for security, debugging, and abuse prevention.
How we use it
To operate and provide the product, authenticate accounts, respond to support and sales inquiries, diagnose and fix problems, and improve BayLineup. We do not sell personal data, and we do not use shop operational data (vehicles, technicians, job records) for advertising.
Sharing
We do not share personal data with third parties except: (a) infrastructure providers who process data on our behalf strictly to operate the service (database hosting, application hosting, transactional email delivery), each bound to use it only for that purpose; (b) when required by law; or (c) with your direction (for example, if your shop later connects a third-party shop-management integration — see below; no shop has this available to turn on today).
Third-party shop-management integrations (not yet available to any shop)
We are building optional connectors to shop-management systems (for example, importing repair orders instead of double entry). As of this draft, this is internal, in-development infrastructure only: there is no setting any shop can use to connect a vendor system, and no shop's customer, vehicle, or repair-order data is exchanged with any external system today. When a shop opts in to a connector, that vendor's data will flow only for that shop (never mixed with another shop's), any credentials the shop provides will be stored encrypted and never shown back in plain text, and this policy will be updated before the feature is offered to describe exactly what is exchanged and why.
Data retention
Account and shop operational data is retained for the life of the account, plus a reasonable period afterward for backups and legal/accounting purposes, then deleted or anonymized. Demo tenant operational data (vehicles, assignments, statuses) is wiped and reset to fictional seed data daily and does not persist. Feedback submissions are stored separately from demo operational data and are not deleted by the daily demo reset.
Security
Passwords are hashed, not stored in plain text. The public demo environment is isolated from production: it runs against a separate database, and demo credentials cannot be used to access production shop data. No system is perfectly secure; if we become aware of a breach affecting your data, we will notify affected account holders.
Your choices
Shop account holders can request access to, correction of, or deletion of their account data by contacting us below. Demo feedback submitters can request deletion of a specific submission by emailing us with enough detail (email address and approximate submission time) to locate it.
Children's privacy
BayLineup is a business tool intended for shop employees and is not directed at children.
Changes to this policy
We may update this draft as the product changes. Material changes will be reflected on this page.
